Morning dispatch without the chase

Before staff or riders take bikes out, someone has to know which units are service-ready and which need the shop. Availability often lives in a spreadsheet, repairs in chat, GPS somewhere else. That morning reconciliation is a common ops friction — not a measured industry statistic.

What it does

  • Dispatch from bike status

    Mark each bike available, in use, in maintenance, or retired. Filter the board so desk and workshop share which bikes can go out today.

  • Health flag → work order

    Inspect parts on the bike record, open a work order, set urgency, and assign a technician. When the job closes, return the bike to service status.

  • Map and seats under one plan

    Plot bikes with GPS when coordinates exist. Invite owners, managers, technicians, and viewers — each invite uses one seat. Android companion included; no separate SKU.

Android companion

Same organization and the same screens on Android. Quotas and modules follow the plan you already have — there is no separate companion license. iOS companion: Planned.

  • Sign in with your staff account and open the fleet board, work orders, and map on the phone.
  • Riders can open a one-time magic link (or deep link) to report a problem without a login — not a second product.
  • Client portal links stay read-only for partner fleets that should see bikes and work, not edit them.

We host VeloManager. A bike counts while it is in your organization and not retired. At the limit, your data stays; new bikes and seats wait until you free capacity or change plan. Cancel a paid plan and you fall back to Starter with the same retention rule.

What happens after signup

Registration asks for six fields: your name, organization name, a module preset (default full ops), email, password, and password confirmation. Google sign-in is on Log in only, not Register. After create, you land in the hosted app with Starter quotas — add bikes, invite seats, and run the morning board.

For the approver

On cancel or downgrade to Starter, data is retained (not deleted) and hard quotas apply again — new bikes and seats wait until you are under the limit or change plan. Privacy and imprint pages document GDPR-oriented controls, including a telematics kill-switch when that module is on. Publisher: Software by Design GbR, Schleswig, Germany (operating since 2014).

FAQ

Is Starter free? Will it stay free?

Starter is €0 today and includes 5 bikes and 3 seats with no card required. We do not promise that pricing will never change — this page states current terms only.

Do I need a card to start?

No. Starter signup does not require a card. Paid plans (Pro and Fleet) bill when you choose them.

What happens at the limit or if I cancel?

Your data is retained, not deleted. New bikes and seats stay blocked until you are under the quota or change plan. Cancel a paid plan and you fall back to Starter with the same rule.

Do we have to run our own servers?

No. VeloManager is hosted software. Create an organization, invite your team, and work in the browser — plus Android if you use the companion.

Is this a city bike-share app or JobRad leasing?

No. VeloManager is for companies and municipalities that already own shared bikes. It is not a consumer find-my-bike tool, not public bike-share SaaS, and not payroll bike leasing.

Is the Android app a different product?

No. Same organization, same screens on Android. Quotas and modules follow the plan you already have. There is no separate companion SKU. iOS companion: Planned.

Is this something we install in Nextcloud?

No. VeloManager is a standalone hosted fleet product from Software by Design GbR. Our Nextcloud apps are a separate line on nextcloud.software-by-design.de.
